Privacy Policy

This policy explains how A Simple Solution, LLC handles information associated with Ship2Invoice, ship2invoice.com, licensing, support, updates and related customer services.

Effective: September 27, 2026 Product: Ship2Invoice Company: A Simple Solution, LLC

Ship2Invoice is designed so that core QuickBooks Desktop processing occurs primarily in the customer's own Windows and QuickBooks environment.

A Simple Solution collects or receives additional information when a person contacts us through the website, requests or uses a license, receives support, downloads or updates Ship2Invoice, or uses an online Ship2Invoice service.

We aim to collect only information reasonably needed to provide, secure, support and improve Ship2Invoice and to operate the related business relationship.

1. Scope

This Privacy Policy applies to information handled by A Simple Solution in connection with:

  • ship2invoice.com;
  • Ship2Invoice customer inquiries;
  • Ship2Invoice licensing and entitlement services;
  • customer onboarding and implementation;
  • Ship2Invoice support and troubleshooting;
  • software downloads and updates;
  • limited product telemetry when enabled in a released version; and
  • related billing and customer-administration activities.

This Policy does not govern the independent privacy practices of Intuit, Microsoft, payment providers or other third parties.

2. Information Processed Locally by Ship2Invoice

Ship2Invoice may process and store business information locally on the customer's Windows computer in order to evaluate shipments, create or verify invoices, maintain configuration and provide troubleshooting information.

This local information may include:

  • QuickBooks company identity;
  • customer names;
  • Sales Order numbers;
  • invoice numbers;
  • item information;
  • shipment details;
  • shipping-method mappings;
  • workflow and invoice rules;
  • customer exclusions;
  • processing and duplicate-prevention history;
  • run reports;
  • application logs; and
  • Company Profile configuration.

This local operational data is not automatically treated as website data merely because Ship2Invoice processes it on the customer's computer.

Transaction-level QuickBooks data is not intended to be routinely uploaded to A Simple Solution unless a customer intentionally sends support information or a specific online feature expressly requires the information and is documented accordingly.

3. Website Inquiry Information

When a person submits the Ship2Invoice Get Started form, we may receive information such as:

  • first and last name;
  • company name;
  • email address;
  • telephone number;
  • whether the company uses QuickBooks Desktop;
  • whether the company uses Sales Orders;
  • how the company identifies shipped orders;
  • information voluntarily entered in free-text fields; and
  • submission date, reference information and source.

We use this information to respond to the inquiry, understand whether Ship2Invoice may fit the prospective customer's workflow, coordinate follow-up, and administer the sales or onboarding process.

4. Licensing and Activation Information

Ship2Invoice licensing may involve information used to identify the customer, licensed QuickBooks company and Ship2Invoice installation.

This information may include:

  • customer or company name;
  • contact name;
  • contact email;
  • QuickBooks company name or company identity;
  • Ship2Invoice Installation ID;
  • Ship2Invoice version;
  • Company Profile name;
  • License ID;
  • license or entitlement status;
  • issued and expiration information;
  • request date and request type; and
  • other limited information reasonably required to administer the entitlement.

Licensing information is used to issue, validate, replace, renew, troubleshoot and administer Ship2Invoice entitlements.

Ship2Invoice licensing is not intended to transmit QuickBooks transaction detail, customer invoice amounts or accounting data merely to verify a software entitlement.

5. Support Information and Support Bundles

When a customer requests support, A Simple Solution may receive information provided in emails, screenshots, run reports, logs, Support Bundles or other troubleshooting materials.

A Support Bundle may contain:

  • customer or company names;
  • Sales Order and invoice identifiers;
  • item or shipment information;
  • configuration settings;
  • processing results;
  • run reports;
  • application logs;
  • Ship2Invoice version and environment details;
  • License ID or status; and
  • Installation ID.

We use support information for troubleshooting, customer-requested implementation assistance, security, defect investigation, product quality and related support purposes.

Do not send unnecessary credentials. Support materials should not intentionally contain passwords, payment-card information, bank-login credentials, private signing keys, private license keys, PFX/P12 private-key files, QuickBooks Online OAuth secrets or similar authentication credentials.

6. Website and Network Information

When a person accesses ship2invoice.com or a Ship2Invoice download or update service, our hosting, security and network providers may process standard technical information needed to deliver and protect those services.

This may include:

  • IP address;
  • browser or user-agent information;
  • request date and time;
  • requested page or resource;
  • network and security information; and
  • information used to detect abuse or protect service availability.

Ship2Invoice currently uses Cloudflare infrastructure for website, network, download and update delivery functions.

7. Cookies and Advertising

As of the effective date of this Policy, ship2invoice.com does not use advertising cookies for behavioral advertising and does not use personal information to build advertising profiles.

Infrastructure providers may use technical mechanisms necessary for security, routing, abuse prevention or normal service delivery.

If Ship2Invoice later introduces non-essential analytics, advertising technologies or other materially different tracking, this Policy will be updated and any consent required by applicable law will be addressed before those practices are used.

8. Limited Product Telemetry

A future or current released Ship2Invoice version may send limited operational telemetry to A Simple Solution when the feature is enabled as part of the product.

The initial intended telemetry use is to record that Ship2Invoice successfully created and verified an invoice so that A Simple Solution can maintain aggregate product-usage statistics such as the total number of invoices automated by Ship2Invoice.

This minimal event may include information such as:

  • a unique event identifier;
  • Ship2Invoice version;
  • event date and time;
  • a limited or pseudonymous installation or entitlement identifier used for validation or duplicate prevention; and
  • the fact that an invoice-created event completed successfully.

The intended invoice-count telemetry does not include:

  • QuickBooks customer names;
  • Sales Order numbers;
  • invoice numbers;
  • invoice dollar amounts;
  • line-item details;
  • customer addresses;
  • payment information; or
  • full QuickBooks transaction records.

If an aggregate invoice count is displayed publicly, only aggregated product-level information will be displayed, not customer-specific transaction information.

9. Billing and Payment Information

Ship2Invoice billing may be administered through QuickBooks, QuickBooks Payments or another third-party billing or payment provider.

A Simple Solution may receive business records such as customer identity, subscription status, invoice status, payment status, plan information or transaction reference information necessary to administer the customer relationship.

Ship2Invoice is not intended to store customers' full payment-card credentials or online banking credentials.

A third-party payment provider's handling of payment credentials is governed by that provider's own terms and privacy practices.

10. How We Use Information

A Simple Solution may use information described in this Policy to:

  • provide and operate Ship2Invoice;
  • respond to customer and prospect inquiries;
  • qualify and onboard customers;
  • issue and administer licenses;
  • provide software downloads and updates;
  • troubleshoot customer issues;
  • provide customer-requested implementation assistance;
  • protect Ship2Invoice, the website and related infrastructure;
  • detect abuse, fraud or unauthorized licensing activity;
  • maintain business, subscription and support records;
  • improve product quality and reliability;

11. When We Disclose Information

A Simple Solution does not sell personal information for money and does not use personal information for third-party behavioral advertising.

We may disclose information:

  • to service providers that host, secure, transmit, support or operate systems on our behalf;
  • to billing, accounting or payment providers as necessary to administer a customer relationship;
  • when a customer asks us to coordinate with an authorized third party;
  • when reasonably necessary to investigate security, fraud or abuse;
  • when required by law, legal process or a valid government request;
  • to protect the rights, safety or property of A Simple Solution, our customers or others; or
  • in connection with a merger, financing, acquisition, sale or transfer of the Ship2Invoice business or related assets.

Service providers are expected to use information for the service they provide to A Simple Solution rather than for unrelated purposes.

12. Data Minimization

We aim to collect and retain information that is reasonably necessary for the purposes described in this Policy.

Ship2Invoice support and licensing workflows are intentionally designed not to require unnecessary passwords, payment credentials, private signing keys or full transaction records.

13. Retention

A Simple Solution retains information for as long as reasonably necessary for the purposes for which it was collected, including providing the customer relationship, licensing, support, troubleshooting, security, business records, dispute prevention and legal compliance.

Different information may be retained for different periods. For example, a customer subscription or license record may need to be retained longer than a routine website inquiry.

Information may also be retained in backups for a limited period after deletion from an active system.

When information is no longer reasonably needed, A Simple Solution will take reasonable measures to delete, destroy, de-identify or otherwise dispose of it as appropriate.

14. Security

A Simple Solution uses reasonable administrative and technical safeguards appropriate to the nature of the information and the systems it controls.

Safeguards may include access controls, account security, authentication protections, encrypted network connections, software-signing controls, restricted access to sensitive build and licensing functions, backups and other security measures appropriate to the service.

No internet service, software application or storage system can be guaranteed to be completely secure.

Customers remain responsible for protecting their own Windows, QuickBooks, network, credential and backup environments.

15. Security Incidents

If A Simple Solution determines that a security incident involving information it controls requires notification under applicable law, A Simple Solution will provide the notices required by that law.

Customers should promptly report a suspected Ship2Invoice security issue to support@ship2invoice.com .

You may contact A Simple Solution to ask about personal information associated with you or your business contact record.

Where applicable, you may request access, correction or deletion of personal information. We may need to verify the identity or authority of the person making the request before acting on it.

We may retain information that must reasonably be kept for legal obligations, transaction records, licensing records, security, fraud prevention, dispute resolution or other permitted business purposes.

Privacy requests may be sent to support@ship2invoice.com .

Ship2Invoice is a business software product and ship2invoice.com is not directed to children under 13.

A Simple Solution does not knowingly seek personal information from children under 13 through Ship2Invoice.

Those providers may process information according to their own contractual and legal obligations.

Links to third-party websites are provided for convenience and do not make A Simple Solution responsible for the privacy practices of those third parties.

The current version will identify its effective date.

If a change materially expands the categories of information collected or materially changes how information is used, we will use reasonable means to provide notice before or when the new practice takes effect.
