Updates, Backup & Recovery
Protect configuration and validate Ship2Invoice whenever the software or production workstation changes.
Before any update
- Confirm no Ship2Invoice run is in progress.
- Confirm no conflicting manual invoice activity is in progress.
- Create a normal QuickBooks backup when the update affects invoice-processing behavior.
- Use Backup Configuration before a material update or major configuration change.
- Confirm the currently installed Ship2Invoice version.
- Use only the approved update package.
Installing an update
The preferred update path is Dashboard > Software Updates.
Install the Ship2Invoice update package supplied through the approved Ship2Invoice update process.
During a normal Ship2Invoice update, existing configuration and data are intended to be preserved.
After the update
After Ship2Invoice restarts, confirm:
- the expected Ship2Invoice version;
- Company Profiles are present;
- the intended QuickBooks company information is correct;
- Shipping Method mappings remain correct;
- Invoice Rules and Customer Rules remain correct;
- Automation Mode is correct;
- the automation schedule is present;
- the next scheduled run is reasonable;
- System Check does not show an unexpected blocking condition; and
- license status is as expected.
First run after a material update
For an update that materially changes workflow, analyzer, scheduling or invoice behavior, use Observe Only or a controlled validation run before returning to normal Live automation.
Confirm:
- expected shipment classifications;
- understandable warnings and Needs Attention results;
- no unexpected duplicate behavior;
- correct Company Profile selection; and
- correct QuickBooks results before normal Live operation resumes.
Configuration backup
Use Backup Configuration before major setup changes and before replacing or transferring the Ship2Invoice production computer.
Store configuration backups securely because they may contain business workflow settings.
Rollback
If an update causes an unexpected production problem:
- Stop further Live automation.
- Switch the affected Company Profile to Observe Only when possible.
- Review the issue before repeatedly rerunning the affected transaction.
- Use the approved Ship2Invoice rollback process if directed.
- Confirm the restored version and configuration.
- Run validation before re-enabling Live automation.
Replacing the computer
A computer replacement should be handled as a controlled transfer.
- Back up Ship2Invoice configuration.
- Record the applicable License ID and Installation ID.
- Retire or replace the old production activation as directed.
- Install Ship2Invoice on the replacement workstation.
- Restore or recreate the approved configuration.
- Authorize the intended QuickBooks company or companies.
- Apply the appropriate license entitlement.
- Validate in Observe Only.
- Perform a controlled Live test before normal production use.
Do not intentionally operate two Live production installations against the same licensed QuickBooks company unless specifically authorized.
