Common questions about Ship2Invoice.
Quick answers about product fit, QuickBooks Desktop, automation controls and getting started.
What does Ship2Invoice do?
Ship2Invoice helps automate the step between shipment and invoicing. It reviews eligible shipped QuickBooks Desktop Sales Orders, applies the configured workflow rules and can create the corresponding invoice when Live Invoicing is enabled.
What type of business is Ship2Invoice designed for?
Ship2Invoice is designed for businesses that use QuickBooks Desktop, create Sales Orders before invoicing, ship physical products and currently spend time reviewing shipped orders before manually creating invoices.
Does Ship2Invoice work with QuickBooks Online?
No. The current Ship2Invoice product is designed for QuickBooks Desktop workflows. QuickBooks Online is not currently supported as the accounting system being automated.
Does Ship2Invoice replace QuickBooks Desktop?
No. QuickBooks Desktop remains the accounting system. Ship2Invoice works with the existing QuickBooks Desktop Sales Order and invoicing workflow.
Can Ship2Invoice support more than one QuickBooks company?
Yes. Ship2Invoice can maintain separate Company Profiles for multiple QuickBooks Desktop company files in validated deployments. Enabled profiles are processed sequentially, not concurrently.
Each QuickBooks company maintains its own workflow configuration and license entitlement.
What is Observe Only?
Observe Only lets Ship2Invoice review and classify activity without creating QuickBooks invoices. It is used during setup, workflow validation, troubleshooting and whenever a change should be reviewed safely before Live automation resumes.
When should Live Invoicing be enabled?
Live Invoicing should be enabled only after the intended QuickBooks company, shipping methods, invoice rules, customer rules and representative Sales Orders have been reviewed and validated.
What happens when Ship2Invoice cannot safely create an invoice?
An order that does not satisfy the configured requirements can be routed to Needs Attention rather than being blindly invoiced. The reason can then be reviewed before further action.
Can certain customers remain manual?
Yes. Customer-level exclusions can be configured so selected customers remain part of the manual invoicing process rather than being automatically invoiced.
Can Ship2Invoice handle partial shipments?
Ship2Invoice supports validated partial-shipment workflows using the configured partial-shipment policy. The customer's actual shipment process should be confirmed during setup.
How does Ship2Invoice licensing work?
Licensing is associated with the intended QuickBooks company and Ship2Invoice installation. Each QuickBooks company requires its own entitlement for Live Invoicing.
If a valid Live entitlement is not available, Ship2Invoice is designed to remain available for Observe Only, diagnostics, settings and support functions rather than creating invoices.
Where is Ship2Invoice business data processed?
Ship2Invoice is designed to perform its core QuickBooks processing on the customer's Windows and QuickBooks Desktop environment. Logs, reports and configuration information may contain business information needed for operation or support.
See the Privacy page for additional information about website inquiries and support data.
What should I do if an invoice or result looks wrong?
Switch the affected workflow to Observe Only, avoid repeatedly rerunning the same Live transaction, review Needs Attention or Diagnose Sales Order, and contact Ship2Invoice Support if the result is not understood.
How do I get started?
Start with the short fit inquiry. We will confirm whether your QuickBooks Desktop Sales Order-to-shipment-to-invoice workflow is a good match before moving into detailed setup.
