Supported Environment
The currently validated Windows, QuickBooks Desktop and workflow environment for Ship2Invoice.
Windows
- Windows 11, 64-bit.
- Intel or AMD x64 processor.
- 8 GB RAM minimum; 16 GB or more recommended.
- SSD storage recommended.
- 1280 x 1024 minimum display resolution.
- 1920 x 1080 or higher recommended.
- Windows display scaling of 100%, 125% or 150%.
- Windows Task Scheduler available and enabled.
ARM-based Windows systems and Windows 10 or older releases are not currently supported for new commercial installations.
QuickBooks Desktop
The initial commercial validation target is QuickBooks Desktop Enterprise 2024, U.S. edition.
QuickBooks Desktop should be installed on the same Windows workstation as Ship2Invoice.
The QuickBooks company file may be stored locally or on a network server provided the local QuickBooks Desktop client can open and use the company normally.
Single-user and multi-user QuickBooks operation may be used when the Ship2Invoice workstation can access the company normally.
Other QuickBooks Desktop Enterprise versions may be evaluated individually and should not be treated as validated for Live Invoicing until confirmed for the deployment.
QuickBooks authorization
Each QuickBooks company used with Ship2Invoice requires its own initial QuickBooks administrator authorization for the application named Ship2Invoice. Authorization for one company does not authorize another QuickBooks company.
Windows or QuickBooks may also present a one-time system approval during initial setup. This is separate from the per-company QuickBooks Integrated Application authorization. Normal scheduled Ship2Invoice operation runs non-elevated.
Ship2Invoice and QuickBooks should not be run as Administrator during normal operation.
Supported workflow
Live Invoicing is intended for validated workflows based on:
QuickBooks Sales Order → Physical Shipment → Invoice
- parcel shipments;
- LTL shipments;
- partial shipments using the configured partial-shipment policy;
- customer-level manual exclusions;
- missing-information routing to Needs Attention;
- duplicate-prevention controls; and
- post-write QuickBooks verification.
Workflows that materially differ from the validated shipping-to-invoice sequence should remain in Observe Only until evaluated.
Multiple QuickBooks companies
Ship2Invoice supports separate Company Profiles for multiple QuickBooks Desktop companies in validated deployments.
Each Company Profile maintains its own company-specific settings, rules, processing context and license entitlement. Enabled profiles are processed sequentially rather than concurrently.
Ship2Invoice will not force QuickBooks away from a different company that is already open. Follow the validated operating procedure for the deployment when multiple companies are scheduled.
Licensing remains per QuickBooks company.
Not currently supported
- QuickBooks Online as the accounting system automated by Ship2Invoice;
- QuickBooks Desktop for Mac;
- ARM-based Windows systems;
- Windows 10 or older Windows releases for new commercial installations;
- Linux or macOS hosts;
- virtual machines;
- Citrix;
- hosted QuickBooks environments such as Rightworks;
- Remote Desktop or Terminal Server deployments;
- Ship2Invoice running on a different computer from the QuickBooks Desktop client;
- fully unattended Windows-service operation outside the validated Windows/QuickBooks model; and
- Windows display scaling above 150%.
"Not supported" means the configuration has not been validated and accepted as a supported Ship2Invoice environment. It does not necessarily mean the configuration is technically impossible.
Live Invoicing qualification
Before normal Live Invoicing begins, confirm:
- the correct QuickBooks company connection;
- a supported or specifically validated workflow;
- Shipping Method mappings;
- partial-shipment policy;
- customer exclusions;
- required invoice information;
- a representative Invoice Preview or Validation Result; and
- a controlled Live test.
If those checks are not satisfied, keep the affected Company Profile in Observe Only.
